We are looking for an O&M Operations & Compliance Coordinator to join our team.

 

Main responsibilities:

Transversal Activity Coordination & Operational Support

• Support, coordinate and follow up transversal activities for WS&S assets in Portugal, ensuring alignment among regional teams, site teams and corporate support functions.

• Plan, coordinate and follow up transversal O&M activities, maintaining a clear view of priorities, pending topics, deadlines and required actions.

• Provide structured administrative and operational support to enable efficient field operations and ensure alignment with Company policies and business objectives.

• Ensure a rigorous, methodical and improvement-oriented approach, helping to simplify processes, strengthen controls and increase operational efficiency.

 

SIGAS System Management

• Manage and maintain the SIGAS system within the function's scope, ensuring the quality, completeness and timely update of records.

• Support system users, follow up pending actions and ensure the effectiveness of the system.

• Monitor data quality and identify opportunities to improve system usage, processes and information management.

 

Legal Compliance Follow-Up

• Coordinate, monitor and control legal compliance processes applicable to O&M activities and installations.

• Ensure systematic tracking of open issues, deadlines, corrective actions, evidence and records.

• Liaise with relevant internal teams and external service providers to ensure timely follow-up and closure of compliance actions.

 

Warehouse, Materials & Logistics Interface

• Coordinate the operational interface with warehouses and materials management.

• Support stock and material requirements, deliveries, returns, transfers, transport and traceability.

• Help ensure that field teams have the resources required for planned and corrective activities.

 

Field Administrative Support

• Provide structured support for administrative and bureaucratic activities associated with field operations.

• Prepare, collect, validate, file and follow up documentation, requests, authorizations, records and supporting evidence.

• Promote simplification, consistency and traceability across administrative processes.

 

O&M Contracts & Services Support

• Support the administrative and contractual follow-up of O&M and service activities.

• Monitor documentation, contractual obligations, service requests and interfaces between internal teams and suppliers.

• Support the timely follow-up and resolution of contractual and service-related topics.

 

Company Policy & H&S-Related Process Follow-Up

• Support the implementation and monitoring of Company policies, environmental obligations and quality procedures.

• Ensure the operational follow-up, tracking and escalation of open H&S-related processes, gaps and actions within the scope of WS&S Portugal.

• Support the consistent implementation of applicable procedures and requirements across field operations.

 

Cross-Functional Coordination & Continuous Improvement

• Coordinate with Asset Management, Procurement, H&S, Environment, Finance, Legal, Engineering, Construction and other relevant functions.

• Analyse existing processes, identify inefficiencies and propose practical improvements, tools, templates and controls.

• Contribute to reducing administrative burden, strengthening process control and increasing the efficiency of transversal support activities.

• Promote consistent ways of working and effective collaboration across teams and functions.

What are we looking for:

• Degree in Engineering, Business Administration, Industrial Management or a related field, or equivalent relevant professional experience.

• At least 2 years of experience in operations support, maintenance services, contract administration, logistics, legal compliance or the management of industrial or energy assets.

• Experience coordinating multiple stakeholders, managing operational records and supporting field-based teams is preferred.

• Knowledge of support processes, SIGAS or equivalent operational management systems, legal compliance workflows, H&S documentation and process follow-up, document and records management, warehouse, materials and logistics processes, service and contract administration, and environmental and quality management systems.

• Experience with process analysis and continuous improvement, as well as Microsoft Office or other digital tools for tracking, reporting and administrative simplification.

• Strong planning, organisation and rigorous follow-up, with a methodical and disciplined working style.

• Strong process coordination and stakeholder management skills.

• Strong attention to detail and document control discipline.

• Ability to analyse processes, identify gaps and propose practical improvements.

• Ability to develop simple tools, trackers, templates and reports to reduce administrative burden and improve control.

• Clear communication and service-oriented collaboration.

• Strong problem-solving, prioritisation and execution skills.

• High standards of integrity, confidentiality, safety and accountability.

• Fluent in Portuguese and English, both written and spoken.

• Spanish is a plus.

• Proactive, accountable and collaborative profile, with the ability to work autonomously while collaborating effectively with multidisciplinary teams.

• Willingness to embrace process improvement, digital tools and new approaches to increase operational efficiency.
