What you will do

Role Overview:

The Executive Assistant provides strategic and administrative support to the Executive Vice President of Asset Operations and the senior leadership team. The role helps coordinate key initiatives, track priorities and commitments, and ensure leaders have the information needed to make informed decisions. It also serves as a liaison across teams to support execution of strategic projects and organizational goals.

Main responsibilities:

  • Maintain a centralized tracking mechanism for key Asset Operations strategic priorities, initiatives, and leadership commitments, including deliverables, owners, milestones, due dates, dependencies, and status.
  • Coordinate regular updates from senior leaders and project owners to ensure strategic initiatives remain on track and information is current and accurate.
  • Prepare concise status reports, dashboards, and executive summaries highlighting progress, accomplishments, upcoming milestones, risks, dependencies, and areas requiring leadership attention.
  • Provide high-level administrative and organizational support to the Executive Vice President and senior leadership team.
  • Manage complex calendars, meeting schedules, travel arrangements, itineraries, business meals, and related logistics.
  • Prepare, edit, and maintain executive presentations, spreadsheets, reports, correspondence, and other business documents.
  • Coordinate leadership meetings, including agendas, meeting materials, logistics, minutes/action items, and follow-up.
  • Prepare and process expense reports, invoices, and other administrative transactions using company systems such as Concur.
  • Maintain organizational resources and documentation, including organizational charts, contact lists, SharePoint resources, and other departmental information.
  • Coordinate department events, leadership meetings, and other organizational activities.
  • Interface professionally with employees, senior leaders, internal departments, external partners, and other stakeholders.

What are we looking for

Minimum Requirements:

  • Bachelor's degree in Business Administration, Management, Communications, Operations, or related field, or equivalent combination of education and experience
  • 5+ years of progressively responsible executive administrative, project coordination, business operations, or similar experience.
  • Demonstrated experience supporting senior executives and working effectively with leaders across multiple organizational levels.
  • Strong organizational skills with demonstrated ability to manage multiple priorities, deadlines, and competing demands.
  • Experience tracking projects, initiatives, deliverables, action items, or other workstreams through completion.
  • Strong written, verbal, and executive communication skills.
  • Strong proficiency with Microsoft Office, including Excel, PowerPoint, Outlook, Teams, and SharePoint.
  • Demonstrated ability to create clear, concise reports, presentations, dashboards, and executive-level communications.
  • Ability to work independently, exercise sound judgment, maintain confidentiality, and proactively anticipate needs.
  • Strong attention to detail with the ability to understand broader business priorities and distinguish critical issues from routine matters.
  • Demonstrated ability to build effective working relationships and follow up appropriately with senior leaders and cross-functional stakeholders.

  • Lifting: Ability to lift items weighing up to 10 pounds

  • Safety: Ability to understand and communicate safety precautions when necessary
